Terms & Conditions
The terms and conditions listed below are applicable to those who register for the IDEX International Dental Expo & Clinical congress, which will take place at Intercontinental Citystars in Cairo, Egypt on February 12–14, 2025, and to companies who sponsor the registration of professionals and/or students.
Organized by Eventova Conferences & Exhibition Organization.
You acknowledge and agree to be bound by the terms and conditions listed below by submitting your registration.
ATTENDANCE AT THE PROFESSIONAL CONGRESS EXPO
By filling out this registration form, you affirm and agree that you are attending the conference as a Dentist, Para Dental Professional, or Student working in or interested in the field of the Event. The conference is only for the benefit of the people mentioned above, not for laypeople or those who do not fall into the categories listed above.
CONFERENCE FEES & PAYMENT TERMS
Prices for each Event, including VAT where applicable, were correct at the time of publication. Eventova has the right to adjust prices at any moment; however, changes will not impact registrations that have already been confirmed by Eventova.
Any applicable VAT must be paid by the delegates in addition to and concurrently with registration.
Payment terms for early bird, pre-registration, and standard rates, as well as registration closing dates.
Early bird prices are subject on payment being received upon application. All discounts are only applicable at the time of registration and cannot be combined. If more than one discount is applicable, delegates will receive the one with the lowest value. Every discount is subject to approval.
The early bird rate will be available until January 14, 2025, for all payment methods. To qualify for the early bird pricing, full and clear payment must be received before January 14, 2025. The Events Team is unable to accommodate any requests for the early bird rate after these dates.
There will be no refunds of any portion of the fees already paid (if any), and any remaining payments will be required and payable if admittance to an Event is rejected.
THIRD PARTY AND GROUP REGISTRATION
If you book on behalf of another person, you acknowledge that you have been authorized by that person to make the booking and that the person has agreed to be bound by these terms and conditions. You understand and accept that you and the person for whom you are booking will be bound by the terms and conditions outlined herein.
You also accept and agree to submit information about the guests in the format desired by the Event's team.
Eventova shall not be accountable for the results or damages directly or indirectly resulting from erroneous, misleading, imprecise, or incomplete information, whether contained in the registration form or based on any other details given by the exhibitor; Eventova retains the right to reject registration forms that are incomplete or not fully completed, or those are received after the stipulated deadline.
INFORMATION FOR REGISTERED ATTENDEES
Entry will be controlled by scan codes supplied by Eventova. Please carry your cell phone to display the scan code to Eventova team.
CANCELLATION, SUBSTITUTION/REGISTRATION TRANSFER & REFUND POLICY
No refunds will be offered. Conference costs, once collected, cannot be cancelled or returned; however, the following is permitted at Eventova's discretion:
If the event is rescheduled for any reason and the delegate is unable or unwilling to attend on the new date, you will receive the full amount of the conference fee paid.
Except as stated above, no credits will be provided for any other types of cancelation.
Eventova is not liable for any loss or damage resulting from a transfer, substitute, alteration, or cancellation/postponement of an event. Eventova shall bear no obligation in the event that this conference is canceled, rescheduled, or postponed owing to a fortuitous incident, an act of God, an unforeseen occurrence, or any other event that makes execution of this conference unfeasible, illegal, or impossible. For the purposes of this clause, a fortuitous incident includes, but is not limited to, war, fire, extreme weather, or other situations.
PROGRAMME CHANGES
Please keep in mind that while speakers and subjects were confirmed at the time of publication, unforeseen events may require changes to the content, timing, speakers, or venue. Eventova reserves the right, at any time, to postpone, change the format, alter or modify the advertised Speakers and/or topics, participants, content, location and timing of the Event, or any other aspect of the Event, without liability for any reason, whether or not due to causes beyond its reasonable control.
If the conference is canceled for any of the reasons listed above, delegates will be contacted as soon as possible before the event's announced date. Eventova assumes no liability for any loss or damage, whether direct, consequential, or otherwise, resulting from any delay in offering the conference or change of location. Non – Appearance/Cancellation of Speakers
If the Speaker(s) of this event fail to show due to illness, accident, cancellation, poor weather conditions, or any other travel interruption, Eventova assumes no responsibility for this, and neither party nor any representative shall be liable for any payment or refund.
Eventova reserves the right, without liability, to refuse admission to or eject from the Event any person in its sole discretion, including (but not limited to) any person who fails to comply with these terms and conditions or who, in Eventova's opinion, represents a security risk, nuisance, or annoyance to the operation of the Event. You undertake to follow any reasonable instructions issued by Eventova or the venue owners throughout the event.
BANKRUPTCY OR LIQUIDATION
If any Attendee commits a bankruptcy or a limited business is wound up, these terms and conditions will be declared void, and Eventova will keep all cash already paid.
ACCOMMODATION/TRAVEL
Please keep in mind that the conference price does not include lodging or travel; attendees must make their own arrangements.
PROMOTIONAL ACTIVITY
No Attendee shall engage in or authorize filming, sound or video recording, telecasting, or broadcasting at the Event venue without prior written agreement from Eventova.
During the conference, no publicity materials may be distributed anywhere in the neighborhood of the Conference or within the Event Venue.
PHOTOGRAPHY AND OTHER IMAGE RECORDINGS
Unauthorized photographing and recording/transmission of audio or video material, data, or information are strictly banned.
An official event photographer will take images and videos during the conference, which Eventova may utilize in post-event publicity and future marketing materials. When registering to attend the Event, attendees accept that the official photographer will take such images and that Eventova will use the photographs as described above. If you do not intend to participate in any photographs, please tell a member of the Eventova Events Team as soon as you arrive at the conference for further guidance.
NOTE: Please be aware that other conference attendees (delegates, speakers, exhibitors, and sponsors, for example) may take photographs; Eventova assumes no responsibility for the use of these photographs.
ATTENDEE IDENTIFICATION
Before attending the Event, attendees must submit their complete information to Eventova for approval and registration. staff who have been approved by Eventova's authorised staff will be provided *E-badges via the Event Mobile Application for identification and entrance. Attendees will guarantee that authorized personnel:
Display their E-badges as requested by the Organizer while at the Venue; and
Do not share their E-badges with anybody else.
*Attendees must download and use the Event Mobile Application to display E-badges supplied by the Organiser at all times. Additional attendees/staff will be permitted with payment of the applicable registration costs.
NOTE: Eventova reserves the right to request any identity necessary for verification reasons.
DATA PROTECTION
Eventova may collect and process personal company data, which may include personally identifiable data such as the contact person's email, address, and phone number ("personal data"), in order to carry out its obligations under these Terms and Conditions and to inform Attendees about future events. Eventova will primarily acquire personal data from Attendees when they fill out the Application Form or through other approved Eventova third-party service providers. The provision of personal information would be mandatory. Without such information, Eventova may be unable to complete its obligations under these Terms and Conditions, such as contacting the Attendee regarding the registration/Event (if any).
Such data will not be transferred or shared with any other entity, while personal data may be disclosed or shared to comply with laws, regulations, or directives issued by regulators or authorities.
Consent and rights of the Attendee
By accepting these Terms and Conditions, the Attendee consents to the collection and use of his/her personal data in accordance with this Statement, including the use and provision of his/her personal data for direct marketing. Attendee information is stored in the Eventova group companies' database and utilized to assist in presenting selected products and services that may be of interest to the Attendee, which will be communicated via letter, phone, fax, email, or other electronic methods. We will store the personal information you supply in a database and may share it with the Eventova group of companies for direct marketing purposes. However, Eventova may release the Attendee's personal information if required by law, such as a search warrant, subpoena, or court order.
Eventova uses company-related data to send event-related offers, manage business operations with you as an attendee, and provide information and advertising before and after the event.
If you do not want your personal data to be used in conjunction with the corporate data, you can object at any time to the ongoing use and communication of your personal data to third parties by emailing us at info@idexevent.com.
NOTE: Each attendee's cell phone will contain a scan code that Exhibitors can use to collect personal information such as your name, job title, organization, and email address. Please advise the exhibitor if you do not want your information scanned.
DISCLOSURE OF INFORMATION
Attendees' personal information will not be divulged or shared with third parties for purposes other than those mentioned when the data was gathered, unless the data subject gives consent. Eventova will keep the personal data it holds confidential, but in some cases, it may provide or transmit the personal data to:
Its agents, advisers, service providers, contractors, and auditors, in connection with their operations and/or services to facilitate and enhance their operations, conducting analysis, research, and auditing based on the personal data;
Its abroad offices, affiliates, and joint venture partners, who are also exhibition organizers, to undertake direct marketing in regard to the promotion and invitation to their trade fairs in Egypt and around the world.
Persons to whom the Organizer is compelled to disclose information under applicable laws in or outside Egypt.
COPYRIGHT
All intellectual property rights in all materials generated or disseminated by Eventova Conferences and Exhibitions in connection with this Event are expressly reserved, and unauthorized replication, publication, or distribution is strictly prohibited.
FORCE MAJEURE
Eventova will not be held responsible if it is unable to implement any of the terms and conditions for any reason, including Acts of God, legislation, war, terrorist activity, fire, flood, drought, failure of the power supply, lock-out, strike, or any other act of God, including but not limited to health issues (such as bird flu, infectious disease outbreaks, pandemics, or other related communicable diseases), climate, economic, political, or financial crises, or social situations at the local, national, or international level; or any other general cases of "force majeure," whether or not "ejusdem generis" with the aforementioned, or any cause beyond Eventova's control, or for any loss or damage incurred in the event that the opening or holding of the Event is prevented, postponed, or abandoned, or if the hall becomes fully or partially unavailable for the holding of the Event because of any of the aforementioned causes.
EXCLUSION OF LIABILITY
Eventova disclaims all liability for any loss, injury, or damage to persons or property during the Event. All indemnities, warranties, terms, and conditions (express or implied) are hereby excluded. Eventova assumes no liability for any loss or damage that you may suffer as a result of the Event, whether direct, indirect, or consequential (including but not limited to loss of profit, loss of business, or any other sort of economic loss) or otherwise. If Eventova becomes responsible to you for any reason, its total liability to you in respect to the Event (whether under these terms and conditions or otherwise) is limited to the amount of registration fees paid by you to Eventova. The limits and exclusions in this condition are only valid to the degree authorized by applicable legislation.
AMENDMENT
Eventova has the right to change these terms and conditions at any time, and you will be bound by the terms and conditions in effect at the time you submit your registration.
ADDITIONAL RULES AND REGULATIONS
Eventova reserves the right to interpret, alter, and amend these General Terms and Conditions, as well as to issue additional rules and regulations, at any time they deem necessary for the orderly operation of the Event. The Organiser's interpretations of these Conditions and any additional rules and regulations will be final.
Attendee agrees to abide by the Event Venue's rules and regulations, which are considered important to and integrated into these General Terms and Conditions. If the requirements of such rules and regulations contradict with these General Terms and Conditions, the latter will take precedence.
In the event of a breach of any of the terms above, Eventova may keep all fees paid by the Attendee and reclaim additional amounts from the Attendee as stipulated below. All communications should be directed to:

GOVERNING LAW
These terms and conditions are regulated by the laws of Egypt as applied in Egypt, and any disputes will be subject to Egypt's exclusive jurisdiction.
Disclaimer for Leisure Activities Notice (When Applicable)
You should carefully assess whether you will be able to fully engage in the leisure activities provided by the visiting programme. Eventova cautions that some activities may be physically taxing or have inherent risks. You agree that it is entirely your responsibility to determine whether participation in any activity in the attendee programme is appropriate for your capabilities, aptitude, fitness, and health, as well as to follow all safety requirements and instructions that may be given in relation to such activities.To the greatest extent permitted by law, neither Eventova nor its officers or employees will accept any liability for any direct, indirect, incidental, special, or consequential damages, whether caused by negligence or any other cause, arising from participation in any part of the visitor programme, including but not limited to activities outside the conference or exhibition. In the event of death or personal harm, Eventova and its officers and employees' liability is restricted.
